Booking Terms and Conditions
Thank you for choosing to book with The Hen and Chickens Guest House, we look forward to welcoming you. By making a booking you are entering into an agreement with us. Please read our terms and conditions of booking below.
The price of our rooms are listed on the 'Rooms' pages and includes the following: electricity, linen, cleaning, hot water, central heating, parking and breakfast.
Unfortunately with rising bank charges we now have to make an additional charge of £1 per night for payment by credit card or cheque. This is only in settlement of your account on departure. No charge is made for payment by debit card.
We will require payment of your first night accommodation as deposit for your booking (except for group bookings - see below). This can be accepted by card over the telephone or by internet banking. Please read our cancellation policy.
Well-behaved dogs are permitted by prior arrangement only at the additional cost of £3.00 per pet/per night. For hygiene reasons and for the comfort of other guests, dogs are not allowed in the dining room. Please do not allow your dog to climb onto the furniture.
Unfortunately, we do not have a family room or facilities for young children and babies. All our rooms are for the occupancy of a maximum of 2 persons.
Weekend bookings (Fri /Sat) are normally for a minimum of two nights throughout the year but single night booking may be available so please email or call us. We would probably know availability up to 14 days prior to your visit. Unfortunately at peak times (including bank holidays) we cannot offer single occupancy rates.
Single night bookings
We will try and give single night bookings their room preference but we also need to maximise our occupancy levels. We therefore reserve the right to amend your room choice. Two night bookings guarantees your room choice.
Multiple or group bookings are three or more rooms booked by one person. You are advised to take out insurance (we can help) to cover your loss if any changes are made later. Deposit will be 50% of your stay.
As a small business we are clearly affected by cancellations and as such we would ask for your understanding and consideration of our policy. By making your booking, our agreement is a legal contract and your deposit is non-refundable. If you cannot make your visit and the booking cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance. If we do succeed in re-letting the booking, you will be no longer liable for the balance and we will refund it to you if you have already paid it. Please note that your deposit is not refundable under any circumstances. In the event of any guests deciding to cut short their stay, the full balance owing for the period booked, will be payable. We recommend that you take out insurance to cover you for this which can cost as little as £12.
Guests must inform us in writing on or before arrival of any food intolerance.
Non-availability of Accommodation
We would only cancel your reservation if your accommodation were unavailable for reasons beyond our control. We would however attempt to offer you alternative accommodation. If this was not possible, or unacceptable to you, then we would refund all monies paid by you for the visit. Our liability would not extend beyond this refund.
Check in is 4.00pm to 7pm.
Guests arriving by car are most welcome to arrive in Ludlow earlier and use our car park but this is only available from 12 noon. Guests arriving by train or bus - please inform us of your arrival time if you wish to leave your luggage before 4pm.
If you are delayed, please call us to let us know your expected time of arrival as we do not live in the guest house.
If you have not arrived or contacted us by 7.30pm we reserve the right to cancel your booking and reallocate your room. In this instance your deposit in non-refundable and you may be charged the full cost of your stay unless we are able to fill your room.
Please be ready to leave the accommodation by 10.30am on the day of departure, unless otherwise arranged. We will provide you with an invoice, payable on departure for any additional services you may have used during your stay.
Smoking is not allowed in any part of the Guest House including bedrooms and ensuites. If we believe guests have smoked they will be asked to leave, settle their booking in full and pay an additional £50 charge. This covers cleaning and possible room move of the next guest.
Damages and Breakages
Please take care when staying in our property. You are responsible and liable for any breakages or damages which you cause to the accommodation or its contents. All we ask is that you report any incidents as they occur. We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant, and we may make an additional charge of £40 if you did not report this.
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
Any data collected during the course of booking will not be stored on our computer. We will not share your details with any third party.
The proprietors believe that the information on this website is correct but cannot accept responsibility for errors or misunderstandings. To allow for a policy of continuing improvement of facilities, the proprietors reserve the right to alter or amend the amenities or facilities offered.
